Jim & Lisa’s Circle Home is a two-bed home providing comprehensive and compassionate end-of-life care for individuals living with a terminal condition, primarily in the Ulster County community. Our vision is to allow our residents, who are served by Hudson Valley Hospice, to live in a warm, loving, home-like atmosphere of support and encouragement during their final months of life. We believe in the hospice philosophy of care: all persons have the right to die with dignity, to have an enhanced quality of life for the remainder of their days, and to be as comfortable and as pain free as possible. Our primary goal is to provide comfort care, symptom control, and pain management for our residents, as well as to be a source of comfort and respite for residents’ families and friends. Circle Home offers care at no charge to our residents and their families. We operate solely on donations, memorials, fundraisers, and grants.

Job title: Administrator
Reports to: Board Chair
Status: Flexible weekly schedule up to 40 hours/month; $30.00/hour  (hours could expand)

Overview:
This position performs a broad range of dynamic administrative duties based in the KIngston office. This key administrative role ensures the smooth and efficient operation of all Board and Mission objectives and activities.

The ideal candidate for this rewarding position is self-directed, highly motivated, heart centered, and entrepreneurial.

Responsibilities:
In this role, the Administrator is a key networker for the Organization and serves in a central position to coordinate the functions of the internal organization and to maintain and foster external relationships critical to the success of the mission. This includes development and implementation of best practice procedures and processes to support the Board and Mission objectives. Reports to the Chair.

  • In this role the Administrator will:
    * Use Quickbooks online
    * Manage the smooth running of the office
    * Manage calendars and scheduling (including Zoom meetings), coordinate meetings with Committee heads
    * Attend monthly Board meetings and be in charge of distribution and follow up on objectives of Board and Committee Members
    * Support all fundraising endeavors with both internal and external parties
    * Assist with updating and maintaining a centralized database (Donor Perfect)
    * Posting on social media platforms, and niche non-profit sites, send Constant Contact emails
    * Set up, attend and/or schedule various educational awareness and community events
    * Manage and oversee the activities related to mailings and developing materials (brochure, website, business cards, stationery).

Qualifications:
Bachelor’s Degree preferred
Knowledge of QB essential, DonorPerfect preferred
Prior non-profit or community-based organization experience
Meticulous work ethic

  • Knowledge, Skills, and Abilities:
    * Must be a strong team player with exceptional coordinating, administrative and communication capabilities
    * Self directed, independent with strong anticipatory and listening skills
    * Ability to effectively manage multiple priorities and competing tasks simultaneously
    * Must be able to accept varied workload including local travel and occasional weekend work
    * Confidentiality is a must in working with sensitive data
    * Proficiency in MS Word, Excel and/or Google Sheets, Quickbooks on-line, PowerPoint, Google Docs, Constant Contact, Database Management (Donor Perfect)

Circle of Friends is a 501c3 nonprofit organization chartered in 2012 to create and oversee a safe, comfortable residence for terminally ill people in need of a home and primary caregiver during their final months. We also serve as an educational center for our community, as it relates to death and dying. A home for the dying in our community helps fill the gap in hospice services in Ulster and Dutchess Counties.
